Data Deletion Policy

This VividEngine, LLC (doing business as Fast Technologies) ("Fast") Data Deletion Policy ("DDP") is an extension of our Terms of Service, Privacy Policy, and other terms and conditions. Fast may modify this policy as described in our Terms of Service; this version takes effect on the effective date shown above.
As a general rule, we store the smallest amount of information on you as possible to enable the Services. You can see our Privacy Policy for more information on that. If you would like to ensure your data is fully removed from our system, please follow the procedures outlined below. We will verify your request and then comply with it. Closing your user account deletes the account and the content it owns outside organizations, any credentials associated with your Single Sign-On (SSO) provider, and any other account-specific information we've stored directly associated with your account. Files uploaded to an organization's workspaces belong to that organization and stay until the organization or workspace is deleted.
Deleted data, including your personal data, your SSO provider details, and your files, is permanently purged after a grace period that allows for recovery: 15 days for shares, 30 days for workspaces, 60 days for organizations, and 90 days for user accounts. An organization with a billing subscription history (including a trial) is kept for 180 days, and so are its shares and workspaces. An organization that Fast closes because a subscription was never started is purged after 7 days, along with its shares and workspaces. A user account that owns an organization still awaiting deletion is not purged until that organization is. The purge covers file storage, search indexes, AI indexes, and metadata.
Some data is kept longer: data under a legal hold, until the hold is released; e-signature envelopes and their records, for up to seven years; billing and tax records, as the law requires; usage records, for up to 120 days; activity history and audit records, as needed for security, audit, and legal purposes; backups, which contain account and file metadata but not file contents, for no longer than one year and restored only for disaster recovery; and copies held by Sub-processors, which are deleted on their own schedules. Those Sub-processors provide billing, error monitoring, session replay, AI monitoring, temporary AI processing storage, file conversion, search embeddings, and real-time collaboration; see our Sub-processors page.
Deletion of User Accounts
How to Close Your Account
Go to Settings > Account Settings > Danger Zone > Close Account, type your email address, then enter your 2FA code if you have two-factor authentication turned on. If you own any organizations, close or transfer them first. If you cannot log in, contact help@fast.io.
Contact Us
If you are unable to log in to your account, you can contact us at help@fast.io. Let us know you're trying to delete your account. Your email must come from the exact address you wish to delete. We will then email you back to confirm. Upon your final confirmation, we will process the deletion on your behalf.
Closure of Organizations
Organizations ("Orgs") are associated with businesses and not individual users. Orgs are closed rather than deleted on the spot: a closed Org's data is purged after a 60-day grace period. An organization with a billing subscription history (including a trial) is kept for 180 days, and so are its shares and workspaces. An organization that Fast closes because a subscription was never started is purged after 7 days, along with its shares and workspaces.
When you close an Org:
- All workspaces and shares, and all access permissions under the Org, will be terminated.
- Data associated with the Org is purged after the grace period described above, subject to the exceptions listed at the top of this policy.
- Billing for the Org will cease from the date of closure.
How to Close an Organization
- Only the organization owner can close it. Cancel any active subscription first.
- Open the Admin console > Organization > General, and find the Danger Zone.
- Click Delete Organization.
- Type the organization's subdomain to confirm.

Note: A closed Org can be restored by contacting help@fast.io before its grace period ends.
Note: Canceling a subscription does not close your Org or account; access continues until the end of the billing period.
Data Retention and Compliance
Fast may retain certain data as required for billing, platform security, or legal compliance purposes.
This includes:
- Transactional records and billing information, retained in compliance with financial regulations.
- Activity history and audit records, kept as needed for security, audit, and legal purposes, as described at the top of this policy.
- Any data we are legally obligated to retain under applicable laws and regulations.
